Filing guest reports by hand is one of the worst ways a property manager can spend time: repetitive, on a 24-hour deadline1, with a fine attached when something slips2. Whether to automate it is not really the question, anyone who has handled six same-day arrivals over a long weekend already knows the answer. The trouble is that every option surfacing in a search presents itself as the complete answer while they are in fact playing in different leagues: compliance specialists, property management systems with a registration module, and suites built around the entire guest journey.

Six criteria for choosing a guest registration app
Beyond price, six things separate an app that removes work from one that just moves it around:
- Automatic submission and pre-validation. It should file the report to SES.HOSPEDAJES on its own and flag errors before sending, not when the fine arrives.
- Bookings in via iCal. If you key in every reservation by hand, you haven’t automated anything. Here’s how iCal sync works with Booking and Airbnb.
- Check-in languages. The guest fills in the form; if they can’t read it, you end up filling it in for them.
- Coverage for your region. SES covers almost all of Spain, Galicia included: the report goes to SES.HOSPEDAJES there like everywhere else5. Only Catalonia and the Basque Country have their own channel outside SES. Galicia does add a quarterly occupancy return to TURESPAZO, a separate obligation that not every tool automates.
- Pricing with no fine print. Watch for minimums by property type and for paying for modules you’ll never touch.
- Support when something breaks. The report has a 24-hour deadline1; if you get stuck on a Friday afternoon, it matters who answers, in what language, and how fast.
RegistroViajero
It does one thing: RD 933/2021 compliance end to end. The guest receives a check-in link (in 9 languages), enters and signs their data, the system validates it against the Ministry’s rules and submits the report to SES.HOSPEDAJES automatically. Bookings flow in on their own via iCal from Booking, Airbnb, VRBO and other calendars. - Who it’s for: managers and owners in SES territory who want guest reports solved without adopting an entire suite.

Chekin
The broadest product on the market: online check-in, biometric verification, payments and deposits, upsells, tourist taxes and smart locks. Its official figures page claims more than 45 countries with active service and direct legal integration in 18 of them, and in Spain it covers SES.HOSPEDAJES, the Mossos, the Ertzaintza and the TURESPAZO return in Galicia too3. If you want a single vendor for the whole guest journey, it is the natural candidate.
- Who it’s for: operators with an international portfolio, or those consolidating everything with one vendor.
- Worth knowing: pricing grows per unit and per module, and the contract minimum is tied to how you pay, the monthly subscription starts at 3 accommodation units while the annual one takes a single property3. Check-in Scan
The authority-coverage specialist: SES, Mossos, Ertzaintza and, on top of those, the quarterly TURESPAZO return in Galicia. Its mobile app scans documents on the spot and has been on the market for years.
- Who it’s for: anyone operating across several regions with their own registration systems who needs that coverage today.
- Worth knowing: the experience revolves around in-person document scanning more than remote pre-arrival check-in; if your flow is “the guest fills it in before arriving”, it is a weaker fit.
HolaHuésped
The minimalist: automates SES.HOSPEDAJES for Airbnb and Booking hosts, with automated messages to collect guest data. Simple and cheap to start: their site publishes €5 + VAT per apartment per month, with no minimum and a 15-day trial3.
- Who it’s for: the host with one or a few properties who wants SES off their plate with the least machinery possible.
- Worth knowing: SES only (no Mossos or Ertzaintza, and no Galician TURESPAZO return), no PMS integrations, and a small team behind it. If your operation grows, a migration is in your future.
AvaiBook (Fast Check-in)
Not a registration app but a PMS with channel manager (from the idealista group) that includes guest registration as a module. If you already use AvaiBook, switching it on is the natural move.
- Who it’s for: anyone wanting PMS + channel manager + compliance in one system, and willing to commit to that ecosystem.
- Worth knowing: you sign up for the whole platform; as a standalone compliance piece it doesn’t compete. If you already have a PMS you like, this isn’t your route.
Deciding in two questions: location and scope
- Where are your properties? In SES territory, which is almost all of Spain and includes Galicia: any option works, so compare price and flow. In Catalonia or the Basque Country: from this list, Chekin, Check-in Scan and AvaiBook; in the medium term this map changes (ourselves included). And if you also want the quarterly TURESPAZO return automated, Chekin and Check-in Scan cover it today and we do not.

FAQ
Is an app mandatory for filing guest reports? No, an app is not mandatory for filing guest reports: you can do it by hand on the SES.HOSPEDAJES portal. The apps exist because doing it manually for every booking, within 24 hours and error-free, is exactly the kind of task humans are bad at.
Are these tools legal with the Ministry? Yes, these tools are legal with the Ministry: SES.HOSPEDAJES offers an official telematic channel precisely so third-party software can file reports with the holder’s credentials. Responsibility for filing stays with the landlord.
What if I pick the wrong tool? Picking the wrong tool is low drama: the master data (properties, SES credentials) migrates in an afternoon. The expensive part isn’t switching apps, it’s the time lost filing reports by hand while you decide. Start with the basic automated flow and adjust later.
Which one is cheapest? The cheapest option is usually a specialist rather than a suite.
