Terms of Use

1. Definitions

• RegistroViajero / Platform: the SaaS service accessible at app.registroviajero.com.
• User: person who creates an account to manage a tourist accommodation agency.
• Guest: person whose data is collected through a check-in link.
• Agency: the entity or natural person that owns the accommodations managed on the platform.

2. Description of the service

RegistroViajero enables:

• The collection of traveler data through individual check-in links.
• The management of lodging reports (“partes de hospedaje”) and bookings.
• The submission of communications to the Spanish Ministry of the Interior through SES.HOSPEDAJES.
• The generation of PDF documents with the data from the records.

3. Plans and pricing

Only accommodations active during the period are billed; adding or removing accommodations is prorated. Prices may be updated with at least 30 days’ prior notice by email. After the trial period ends, the Pro plan must be subscribed to in order to continue submitting reports to the Ministry.

4. Registration and account

• The user agrees to provide accurate data.
• Each agency corresponds to one account. The owner may invite members with administrator or member roles.
• The user is responsible for maintaining the confidentiality of their credentials.

5. User obligations

The user agrees to:

• Use the service in accordance with applicable law, in particular Royal Decree 933/2021.
• Verify the accuracy of guest data before submitting it to the Ministry.
• Not use the service for unlawful or fraudulent purposes.
• Inform guests about the collection and processing of their data.

6. Liability

RegistroViajero:

• Provides the technology platform “as is”.
• Does not guarantee the uninterrupted availability of the service, although it undertakes to make reasonable efforts to keep it operational.
• Is not liable for errors in communications with SES.HOSPEDAJES arising from incorrect data entered by the user or their guests.
• Is not liable for administrative penalties arising from the user’s non-compliance with Royal Decree 933/2021.

7. Data protection

RegistroViajero acts as the data processor for guest data. The agency (user) is the data controller. See our Privacy Policy for more information.

8. Payments and billing

• Payments are processed through Polar (polar.sh).
• The subscription renews automatically on a monthly basis.
• Accommodations are billed on a prorated basis when added or removed.
• We do not store credit card data.

9. Cancellation

• The user may cancel their subscription at any time from the billing settings.
• After cancellation, access is maintained until the end of the billing period.
• After cancellation, new reports cannot be submitted to the Ministry until the plan is reactivated; guest check-in is not blocked.
• The user may request the complete deletion of their account and data at any time.

10. Refunds

No refunds are offered for partial periods. Upon cancellation, access is maintained until the end of the paid period.

11. Changes

We reserve the right to modify these terms. Significant changes will be communicated by email at least 30 days in advance. Continued use of the service after a change implies acceptance of the new terms.

12. Applicable law

These terms are governed by Spanish law. For any dispute, both parties submit to the courts and tribunals of the owner’s domicile.
